How it Works

Getting Started

You'll first submit an SST Order Form for your project, which you can easily fill out using information from the 'Soil Management Plan' or the 'Excess Soil Registry'. Upon submission, we will create a personalized Soil Tracking Form and provide you with specific links via email to monitor excess soil, ensuring everything is tailored to your project. Finally, you're responsible for distributing these links to all relevant parties involved in the project, including Source Site Users, Receiving Sites, and other stakeholders, to facilitate seamless soil management and compliance.

We have created a test project for you to follow along the process. Click the button below to see the order form for this test project. In the following steps, you'll be able to interact with and follow through each step of this project.

Start Shipping (Source Site)

The Source Site User completes this section of our form on their mobile device by entering the required information and making the necessary selections. They can use the link provided or scan the QR code to get started. Once finished, they will submit the form to instantly create a ticket for your load.

Click the button below to create your own test ticket (1 per user) for the simulated project. For this part, only fill out the Source Site Section (1.0).

Hauling Records for Each Load - No Driver's Cell Phone Required

Each truck driver receives a printed ‘Driver’s Handout’ featuring a QR Code that grants Provincial Officers access to the Hauling Record if requested during transit to the Receiving Site. This QR Code displays only the Hauling Records (Tickets) for loaded trucks en route that have not yet arrived. Once a load is officially signed off at the receiving site, it is automatically removed from the summary accessible via the QR Code.

Receiving Site Sign-Off

To manage excess soil shipments from the source site, essential links are sent to the receiving site for tracking. Users can monitor incoming loads through the 'Incoming Loads' link, refreshing their browser to see updates. Upon a truck's arrival, receiving site users edit the load's details by clicking the blue pencil icon in the 'Incoming Loads' section and then complete the necessary information in the 'Receiving Site Section.' 

The trucks have now arrived. Click the buttons below to act as the receiving site users for both the Peterborough Airport and the Peterborough Landfill by clicking the blue pencil icon and filling out the Receiving Site Section (2.0).

Receiving Site Record Retention

Once the receiving site section has been completed, the load is removed from the summary. Compliance records are maintained through the 'Summary Link,' which exports an Excel spreadsheet of all soil loads received, essential for record-keeping as per O Reg 406/19. Users should save this spreadsheet upon project completion.

Viewing Tickets & Retaining Records

Under the Excess Soil Regulation, Hauling Records must be kept for 2 years and Soil Tracking records for 7 years. The ‘Project Summary’ link provides owners, contractors, project managers and all qualified persons with anytime access to all tickets, enabling easy tracking of progress and verification of compliance with hauling and soil tracking requirements.
